Log books and record keeping

Do any of you keep a log book or some sort of record keeping for your guns - serial numbers, purchase info, make, model, etc?

If so what are you using? Any ideas?

I keep and have a picture of every serial number and know the make and model with a full on shot. Thought about making a spreadsheet, but everything is accounted for. Sure helps with the police report if you get jacked when you run into a big box store in broad daylight new years eve day for less than five minutes with Paul Blart parked in his golf cart less than 50’ away.

I have a photo of all serial numbers and photos of built Rifles. I store them in a private album on a different forum. Back in the day (10 years ago) I stored them on a private folder on Facebook, but deleted that years ago.

photos of serial number, full photo of weapon. have excel spreadsheet with make, model, SN and brief description and history of weapon. history is for kids when I am gone.

all is on paper, and backed up in numerus places.

thanks for the ideas. sounds like photos is the way to go. I’ll look at that and printing them off also as a backup and maybe burning to a CD/DVD.

I have a note book that I keep serial #'s and descriptions for all my firearms. Sadly all my firearms have since been lost in the boating accident off the coast of North Carolina. :canoe: I’m still broke up about it. :cry: Might be a good thing for PSA to have in their stores… a log book that is, not the boating accident thing…

I have a great piece of software called Home Inventory. You can input price, condition, location within the home, serial number, warranty information, upload scans of receipts and photos of the items, and much, much more. I have a copy of the database burned onto CDs (need to change that to USB flash drives) and kept in 2 offsite locations, in case of fire.

Haven’t done it yet, but this caught my eye. Soon as I quit putting it off…

I thought about writing something simple for iOS/Android phones. Just need to find time to do it.

Any flash drive can get corrupted or become incompatible with new OS. CD or DVD can be scratched or degrade to the point of not being able to be read and the software used to burn the CD / DVD can become obsolete. The only safe electronic way to store these type files is a SSD drive. I have two external SSD drives that I use to store all of my personal files, pictures and documents. Those SSD drives are kept in separate places with one locked up in my largest fireproof safe. I have a complete record of every gun with any custom work done, all my scopes, flashlights and any other item with a serial number documented. I have multiple photos of each item. I have security and anti-virus software on my cell, a VPN on my cell and a 500 Gb memory card installed. I also have copies of all my files stored on my cell so that I always have a copy of any file or photos that I need. Those files can also be emailed to LE or someone else if I am out of town and the need arises. I always use a Word document to fully describe the weapons with custom parts. In situations where an item is a full custom build I have a full list of the parts used. When you own historic collectable firearms a history of those items are an absolute must. The rarity of any item, any supporting documentation on an item, a COA that goes with any item and any reciepts. I keep a list of contacts of people who know about my collection and can answer any questions for my family if need be. Also two of these contacts are long time historic gun dealers that I trust to liquidate my collection if need be.

I used to keep them in an excel, but after maybe 3 new laptops, I couldn’t tell you where that thing is held pr the last entry in it.

After I became an FFL, i took advantage of the free personal firearms logs to write mine down and keep in the safe. I also pass them out to customers with every visit. Around here, theft is more common than misplacing a gun/lower/etc, and it helps to have that serial number to provide to the cops when reporting it stolen.

Since adding so many guns recently, this is something I need to do.

Need up upgrade my firearms provision in my homeowners insurance as well.

Exact reason I was looking for something. I plan on taking pics, adding to a word doc for each gun with relevant info, print them off and save an electronic copy - in multiple locations.

I keep an inventory by caliber and handguns or long guns. I just use ‘Word’ a word processer for the task.

i’ve been using a program called mygunDb. its been a great program and for 49.95 it was perfect. That said, I dont know if the gentleman who was programming it is going to continue anymore, as ive been waiting for a update for a while and one hasnt been released, and may have been abandoned by its programmer… which if so is a darn shame cause it was good, and getting better every update. alot of folks seem to have a very negative opinion of the programmer after a google search, which sadly tells me the program is dead now :*(

This is why I use Microsoft Word. It is always being updated and new versions coming out. The old versions of Word is still compatible with the newer versions. You really don’t have to worry about the programming and software becoming obsolete.

the problem I have with internet and software based recording systems is what are the possibilities of issues with hackers and prying government agencies? Could this be a thing?

I keep photos of the serial numbers for all my firearms and any accessories that have them, like optics. I also have photos of the complete firearm and configuration.

For people that a good bit invested in their firearms, or anything in your home. I highly recommend getting an Insurance Rider. This will cover the costs of anything listed on the rider if they are lost, stolen or damaged in a fire/catastrophe depending on what kind of rider you get. They are cheap, and a great way to keep off-site records of all of your serial numbers and expensive accessories. They are not firearm exclusive, so its a great way to add other expensive items like jewelry. Something that might be worth looking into.
